Position: Project Support Officer
We are looking for a Project Support Officer to work on site with our client in Milton Keynes.
Who are we looking for?
The candidate must be organized, flexible, able to prioritize and must have an eye for detail.
Key Responsibilities include:
- Maintaining project records
- Project & Portfolio Performance Reporting
- Coordinating Recruitment of contract resources
- The on-boarding' of new starters
- User & Network Access (starters & leavers)
- Contractor extensions including the management of HR forms
- Organizing and facilitating meetings
- Management of PSO mailbox
- Process Documentation, Maintenance & Standardization
- Manage the delivery of effective resource planning and capacity management.
- Process project resource requests in a timely manner and consolidate accurate and helpful responses within timescales.
- Provide accurate and timely data to enable and support the team with decision making and recommendations.
- Monitor effectiveness of resource plans, and apply learnings to forecast models.
- Develop a watertight process and coach users to support this, to ensure a smooth and valued process is maintained.
- Understand and promote principles of Resource Planning across the business.
- Work collaboratively and manage requests and queries in a timely manner. Build strong trusting relationships and work in partnership in order to deliver excellent Customer Service.
- Pro-actively plan and take ownership of identifying any resource gap issues before they occur making the planning process much smoother and efficient.
- Work with Resource Pool Manager/Owners to highlight and resolve under and over allocation issues.
- Manage escalation process where issues are identified.
- Help identify opportunities to improve planning and forecasting processes to optimize performance.
- Provide administration support to the team as and when required.
- You will have solid Programme Office experience with a highly proactive approach.
Skills/Experience Required:
To be successful you will have excellent interpersonal skills to enable you to communicate with people at all levels within the organization. Your flexible approach will enable you to work effectively as part of a team. You will have excellent practical administration and organizational skills, high levels of attention to detail, be competent at analysing data, and have the ability to work with minimal supervision.
Finally you will have good written communication skills and be intermediate level with Office products, Outlook, Word, Excel, PowerPoint and Visio. Experience of working with PPM tools would be an advantage.
